This Privacy Policy explains how ChatFlow AI ("we", "us", "the Service") collects, uses, and protects information when you use our website and platform. By using the Service, you agree to the practices described here.

1. Information we collect

Account information. When you register we collect your name, email address, phone number, company details, and a password (stored only as a secure one-way hash). If you sign in with Google, we receive your name, email address, and profile picture from Google.

Customer data you bring to the platform. To provide the Service, we store the contacts, leads, conversations, appointments, quotations, and WhatsApp messages that you and your customers create through your workspace. For this data, you are the data controller and we act as a processor on your behalf.

Payment information. Subscription payments are processed by Razorpay. We never receive or store your card number, UPI PIN, or banking credentials — we store only the payment reference, amount, and status needed for your invoices.

Usage and log data. We record activity logs (such as sign-ins and key actions), IP addresses, and technical logs needed to keep the Service secure and reliable. We use session cookies to keep you signed in, and Google Analytics (where enabled) to understand website usage in aggregate.

2. How we use information

We use the information we collect to provide and operate the Service; deliver and receive WhatsApp messages on your behalf; generate AI-assisted replies; process subscription payments and issue invoices; secure accounts and prevent abuse; provide support; and improve the product. We do not sell your personal information.

3. Third-party services we share data with

The Service works by connecting to third-party platforms. Depending on the features you use, data is shared with:

Meta (WhatsApp Business Platform) — messages you send and receive are transmitted through Meta's WhatsApp Cloud API and are subject to Meta's terms and privacy policies.

AI providers (OpenAI, Google Gemini, or Anthropic Claude) — when AI replies are enabled, the content of the relevant conversation and your knowledge-base entries are sent to the configured AI provider to generate a response.

Razorpay — for payment processing.

Google — for "Sign in with Google" (OAuth) and, where enabled, Google Analytics.

Each provider processes data under its own privacy policy. We share only what is necessary for the feature to work.

4. Your customers' data and consent

You are responsible for the customer data you upload or collect through the Service, including having a lawful basis (such as opt-in consent) to message your contacts on WhatsApp and to process their information. We process that data only to provide the Service to you.

5. Data retention and deletion

We keep your data for as long as your account is active. If you delete records (contacts, conversations, knowledge sources), they are removed from the live system. When a workspace is deleted, its related data — users, contacts, conversations, campaigns, and files — is deleted with it. You may request account deletion at any time by contacting us.

6. Security

We use industry-standard measures to protect data: encrypted connections (HTTPS/TLS), hashed passwords (bcrypt), CSRF protection, session hardening, login throttling, company-level data isolation, and access controls. No method of transmission or storage is 100% secure, but we work to protect your information appropriately.

7. Your rights

You may access and update your account information from your dashboard at any time. You can request a copy of your data, correction of inaccurate data, or deletion of your account by writing to us at the address below. We will respond within a reasonable time and in accordance with applicable law.

8. Children

The Service is intended for businesses and is not directed to anyone under 18. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the latest version, and material changes will be communicated through the Service.
